2. What Data We Collect
When you create an account, we collect information such as your name, email address, password authentication data, and organisation name.
When using the platform, we store scouting reports, player evaluations, notes, tags, session information, and other content voluntarily created or uploaded by users within their organisation workspace.
We do not directly collect or store payment card details. Subscription payments are processed securely by Stripe, Inc., acting as an independent payment processor.
3. Legal Basis for Processing
We process personal data where necessary for the performance of our contractual obligations, including providing access to the Lens Scout platform and related services.
Where required by applicable law, processing may also be based on user consent, including participation in beta testing programs or optional communications.
4. How We Use Your Data
Personal data is used exclusively for operating, maintaining, securing, and improving Lens Scout.
We do not sell personal data to third parties and we do not use personal data for advertising purposes.
Content created within an organisation workspace may be visible to authorised members of that organisation in accordance with the platform’s collaborative functionality.
5. Athlete and Minor Data
Lens Scout is designed as a professional scouting and collaboration platform for sports organisations, coaches, and evaluators.
The information stored within the platform primarily consists of publicly available sporting information, performance observations, scouting opinions, subjective evaluations, and user-generated analytical content created in a sporting context.
Organisations and users remain solely responsible for ensuring that any data uploaded to the platform is collected and processed in accordance with applicable laws and with any permissions, notices, or authorisations required under their jurisdiction, particularly where information relating to minors is involved.
Lens Scout does not intentionally process special categories of personal data as defined under Article 9 of the GDPR.
6. Data Retention
Account information is retained for as long as the account remains active or as otherwise necessary to provide the service.
Organisational scouting records and collaborative reports may remain stored following account deletion in order to preserve organisational continuity and historical reporting integrity. In such cases, deleted users may be anonymised or identified as “Former Scout”.

7. Your Rights
Under the GDPR and the Spanish LOPDGDD, you have the right to:
- Access your personal data
- Request rectification of inaccurate data
- Request erasure of your data
- Restrict or object to processing
- Request portability of your data
- Withdraw consent at any time where processing relies on consent

8. Third-Party Service Providers
We use carefully selected third-party service providers to operate the platform infrastructure and payment systems.
These providers currently include:
- Supabase — database and authentication infrastructure
- Stripe, Inc. — payment processing and subscription management
- Google LLC (Gemini) — AI processing of scouting data for report generation
These providers operate under contractual data processing obligations and implement measures intended to comply with applicable GDPR requirements.
9. AI-Generated Content
Lens Scout uses Google Gemini to generate scouting report text based on data you provide. When you generate a report, relevant scouting inputs — including player information, scores, and evaluation notes — are transmitted to Google's API for processing.
This processing is necessary for the core functionality of the Service. Data transmitted for AI processing is not used to train Google's models and is subject to Google's API data usage policies.
AI-generated report text is provided for informational purposes only. Lens Scout makes no guarantees regarding its accuracy, completeness, or fitness for any particular purpose.
11. International Data Transfers
Certain service providers may process data outside the European Economic Area (EEA).
Where international transfers occur, appropriate safeguards are implemented in accordance with GDPR requirements, including the use of Standard Contractual Clauses approved by the European Commission where applicable.
12. Security Measures
We implement reasonable technical and organisational measures designed to protect personal data against unauthorised access, misuse, disclosure, alteration, or loss.
However, no method of electronic transmission or storage can be guaranteed to be completely secure.
13. Cookies
Lens Scout currently uses only strictly necessary cookies required for authentication, session management, and core platform functionality.
We do not currently use advertising cookies or third-party behavioural tracking technologies.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect legal, technical, or operational changes.
Material changes may be communicated through the platform or by email where appropriate.
